The BFCM Tax Readiness Checklist for Shopify Merchants
Prepare your Shopify store for BFCM: review sales tax nexus, state registrations, product categories and filing deadlines before holiday orders arrive.
Black Friday and Cyber Monday can create more than a big sales weekend. For Shopify merchants, a surge in orders can bring new sales tax obligations just as the team is busiest with fulfillment, customer questions and holiday promotions.
You do not need to turn sales tax into another giant BFCM project. You do need to know which states deserve attention, who will handle a new registration and what returns are coming due. Start with these five checks before the orders arrive.
1. Know which states are getting close
Review sales by state using each state's threshold, measurement period and definition of sales. A year-to-date Shopify export is a useful starting point, but it is not the complete answer everywhere. Include other sales channels where the state's rules require them, and account for a physical presence such as inventory or employees.
Shopify's liability insights can help identify states to review. Those insights have limitations, including which transactions are included and delays in updates. Use Shopify's explanation of US tax liability insights alongside the state's rules.
Do not look only at your biggest states. A smaller market can grow quickly when a holiday campaign performs well. Make a short watch list with the state, the applicable threshold and the person responsible for checking it during BFCM.
2. Be ready to register where required
For each state on that list, find out what triggers registration and when collection must begin. The timing differs by state. Prepare the information you will need so a strong weekend does not become several weeks of catching up.
Keep registration and collection as separate checklist items. After registration, confirm that the right tax settings are enabled for the store. BreezyFile can help with new state registrations and the filings that follow.
3. Check the categories on new products and bundles
Holiday products often get added quickly. Alongside price, inventory and discount rules, review each product's tax category. Give food, supplements, apparel and mixed gift sets extra attention because the applicable treatment can depend on the product and destination.
Shopify may suggest a category automatically, but the suggestion still needs review. Check Shopify's product category guidance and resolve uncertain classifications before the offer goes live. Add this step to the same launch checklist your team already uses.
4. Review the filing calendar through January
List upcoming returns, payments and the person handling each one. Review notices about filing frequency rather than assuming your current schedule will stay the same as sales grow.
Keep portal access and payment arrangements ready before the holiday break. If someone else handles your filings, confirm which periods they cover and who is responsible for any return due before their service begins.
BreezyFile connects to your Shopify data to support sales tax filing, with filing history and confirmations available for your records.
5. Keep checking during the holiday surge
Do not wait until January to find out whether you crossed a threshold in November. Check the states on your watch list during BFCM and throughout December, using a cadence that fits how close you are to each threshold.
When an obligation arises, follow that state's registration and collection timetable. After the holiday rush, reconcile the period's sales and returns and confirm that upcoming filings are covered.
Your before-BFCM checklist
- Review state exposure across the relevant sales channels and measurement periods.
- Prepare registration information for states approaching a threshold.
- Review product categories before holiday offers launch.
- Assign upcoming filings and payment deadlines.
- Set checks during the surge and a reconciliation after it.
